This knowledge base article provides a step-by-step guide on how to set up and utilize manual only note categories within the Quil. These categories allow you to add custom notes to meeting types before, during, or after call.
What are Manual Notes?
When editing meeting types, under the database notes tab, there is the option to make a note category "Manual Only". If this option is turned on, you will no longer have the option to write a prompt for that category, and that category will no longer have AI generated notes at the end of a call.
Manual only database notes only allow you to write the notes out manually during a call for that note category.
What is the use of the Manual Notes?
"Manual notes only" categories are used for the user when they want to have a spot to write their notes manually, or when the user has some sort of information they want to give to the AI for context about the call.
Tip: Under Manual Notes the user can paste a CV, give their opinion, or explain context prior to the call.
Creating a Manual Only Note Category
- Access Meeting Types Settings:
- Navigate to the Cog Icon in the Quill Hub Center.
- Select Meeting Types from the menu.
- Edit a Meeting Type:
- Choose the desired meeting type and click the Pen Icon to edit it.
- This will bring you to the Notes section of the meeting type settings.
- Enable Manual Only Note Categories:
- In the Notes section, you’ll see an option to toggle Manual Only Note Categories on or off.
- Flip the toggle to On for any category you want to designate as manual only.
- Note: Categories can either be manual only or include a prompt, depending on your preference.
- Configure the Category:
- Add a title for the manual only note category (e.g., "Additional Information").
- Save the changes by clicking Publish to make the meeting type and its note category available.
Using Manual Only Note Categories
Manual only note categories can be used before, during, or after a call. Below are the instructions for each scenario:
After a Call
- Open a completed call in the Quill Hub Center.
- Add or select the appropriate meeting type for the call (this can be done before, during, or after the call).
- Locate the manual only note category (e.g., "Additional Information").
- Enter the relevant details in the text field.
- Navigate to Follow Material and click Sync to update the information in the follow-up materials.
During a Call
- Join an active call by clicking Join and selecting the appropriate meeting type.
- Access the manual only note category within the selected meeting type.
- Paste or type the information into the designated field.
- Quill will read through the manual notes and store the information in the category.
Before a Call
- For an upcoming call, open the call details in the Quill Hub Center.
- Select the appropriate meeting type and locate the manual only note category.
- Add the information you want to include (e.g., paste details into the field).
- Once the call starts, you can proceed with the meeting as usual (e.g., using the Media Button or starting a phone call).
- The pre-added notes will be available during the call.
